Japanese Culture & Customs

When you rent an apartment in Japan, you are sometimes given a checklist at the time of your move-in. This is sometimes called a “genjo kakuninhyo” (current condition checklist). It is important to complete this checklist and hand over a copy to the landlord or management company.

In this article, we explain the move-in checklist, including the submission procedure and some points of caution.

・The Move-in Checklist

In most cases, the move-in checklist is given to you by the real estate agency or management company during the contract signing, together with the house keys.

When you move out of an apartment in Japan, you are liable to pay for any damage or stubborn stains that were not present at the time of your move-in. This is why the move-in checklist is important.

The move-in checklist serves as written proof of the condition of the apartment at the time of your move-in. By noting down any dirt or damage already present in the apartment during your move-in, you can avoid having to pay for any unnecessary repair costs when you move out.

If you fail to complete the move-in checklist and submit a copy to the management company, you may be liable to pay for the cost of repairs and refurbishment for damage that was not your responsibility.

・Important Points for Completing the Move-in Checklist

The proper procedure for filling out the move-in checklist is usually written on the checklist itself. The following are some other important points you need to keep in mind.

① Complete the checklist before moving your belongings inside

You should check the apartment and complete the checklist before bringing in any furniture, appliances, or other belongings. This will allow you to check the place thoroughly.

It is also a good idea to clean off any dust before moving in your things. If you plan to use an insect fogger (bug bomb), this would be the best time to use it.

② Submit a copy of the checklist within 2 weeks of your move-in

You should complete the move-in checklist and submit a copy to the landlord or management company within 2 weeks of moving in to the apartment. Note that this period may differ depending on company, so it is best to do it promptly after moving in.

③ Take photos of any areas with dirt or damage

If you find any part of the apartment with dirt or damage, in addition to writing it down on the checklist, you should also take a photo. This will serve as visual proof of the condition of the apartment at the time of your move-in.

・What to do if there is no move-in checklist

In some rare cases, the landlord or management company may not provide you with a move-in checklist. In this case, you should still check the apartment and take photos of any dirt or damage. You should then make copies of the photos and send it to the management company promptly, so they would know that they were taken before your actual move-in.
